Responsibilities include, but are not limited to:

  • Oversee and manage admin assistant in accounts payable and accounts receivable.

  • Work with current admin assistant on timely invoicing and maintaining client, project, and budget data in Deltek.

  • Develop and maintain company budgets and manage purchasing approvals within the budget.

  • Manage all cash accounts, collections and lines of credit.

  • Maintain payroll and personnel files, including medical deductions and bonuses, in conjunction with our admin assistant.

  • Perform project budget maintenance and provide PM’s with weekly reporting of project information.

  • Prepare detailed quarterly and overview monthly financial reports and meetings for cash flow, projections, project budget, and time analysis.

  • Responsible for financial management, including firm’s annual business plan in consultation with the principal.

  • Manage firm’s financial operations, including sending monthly aged A/R emails, calls to aged A/R clients for collections as required.

  • Review contracts for fee and payment provisions and non‐AIA terms and conditions, on all owner/architect, and architect/consultant agreements, with the principal and/ or PMs.

  • Provide timely year-end closing, annual tax preparations and correspondence with company’s accountant.

  • Manage company 401K.

  • Manage all state/municipal/federal financial requirements.

Qualifications for this position include:

  • Minimum of 5 years’ experience in accounting/account management. 

  • Bachelors’ in accounting or finance related degree.

  • Knowledge of the accounting software, Deltek Vision and Quickbooks, required.

  • Provides well written and spoken, clear communications that minimize risk (letters, emails, phone calls, etc.)

  • Comfortable using Microsoft Outlook, Word, and Excel.
